Education: High School diplomaExperience: three to five years’ sales office/ customer service experience.Ability to use office equipment: computer terminal, copier, calculator, and multi- extension telephoneProficient in the use of Microsoft Word, Excel, Access and Outlook.Excellent written and verbal communication skillsStrong organizational skills; must be detail orientedAbility to multi-taskAbility to define problems, collect data, establish facts, and draw valid conclusions.Ability to follow-up on pending issues and effectively present information to management.Ability to meet deadlines.Ability to function as a team player.Ability to work overtime as needed.Reporting to the Customer Service ManagerThis position will be responsible for processing customer orders and deductions, responding to the needs of customers, brokers, and sales management. The Customer Account Representative exudes a professional, positive attitude capable of dealing with basic as well as complex customer service issues.Essential Duties and ResponsibilitiesProcess customer orders received via email, EDI or Fax in accordance with Companies policies and procedures.Handle all Customer correspondence via phone or emailEnsure the customer’s purchase order represents correct pricing (bracket and promotional discounts) before order is released for shipping.Provides the highest level of service to the customer throughout the order cycle processWork with appropriate individuals to guarantee order is delivered and complete and on timeChanges to orders must be communicated to the customer and appropriate individuals in a timely fashion.Follow up on outstanding orders to insure they are invoiced on time. Match order with BOL from warehouse when necessary, make corrections as necessary based off shipping documents before invoicing occurs.Research and process deductions and short pays. Validates deductions and initiates credit memo with appropriate backup and authorization.Processes check request as needed, making sure to supply the appropriate support documents and approval needed in accordance with Companies policies and procedures before processing
